Appointments
Your scheduled appointment time has been reserved specifically for you. We request 24-hours notice if you need to cancel your appointment. We are aware that unforeseen events sometimes require missing an appointment.
School Hours: Our staff at Southmoor Orthodontics works diligently to minimize lost school time for school age patients. In fact, throughout the school year, school schedules are kept on file in order to plan appointments out of school. By communicating with our patients, we strive to schedule appointments on parent-teacher days, teacher continuing education days and even some holidays as well as before and after school.
Scheduling Policies
We will accommodate your schedule as much as possible; however, there may be appointments which conflict with school or work.
Emergencies
True orthodontic emergencies are rare, and most orthodontic problems, such as broken wires or braces can be handled by scheduling a repair appointment or may be done at your next regular appointment. Please alert us to the nature of the problem so we can guide you in appropriate action and making you comfortable as quickly as possible.
Please call us if you feel that your situation needs to be addressed immediately. You can reach us during hours and after hours at 303-758-3414.
Scheduling Goals
We understand that you have obligations during the day, usually involving school or work. When orthodontic treatment begins, we will see you every 4-12 weeks depending on your stage of treatment. While we will accommodate your schedule as much as possible, some of these appointments may conflict with school or work schedules. Our goal is to minimize these inconveniences as much as possible.
Adjustment Appointments
Because our schedule is finely tuned, late arrivals impact our timing and other patients’. These brief appointments, lasting only 30-45 minutes, are for technical adjustments to your braces. Most of our patients schedule these appointments at various times during the day. Even though these appointments often occur during the morning or early afternoon, they are necessary to your treatment. We will be happy to provide a written excuse slip to avoid any unexcused absences from school or work.
Longer Appointments
In order to see more patients after school or work hours, we generally attempt to schedule longer appointments in the morning and early afternoon. This enables us to accommodate as many patients as possible in a streamlined manner. Early morning and after school or work appointments are booked well in advance so that patients do not have to miss school or work.
Broken Appointments
We consider your appointment failed or broken if less than 24 hours notice is given. In fairness to all patients, if you do not arrive 15 minutes after your scheduled visit time, we will assume you are not coming and cancel your appointment. Your treatment depends on meeting a set schedule, so any missed appointments may delay your treatment or extend your treatment time.
Late Arrivals & Rescheduled Appointments
Every appointment is vital to the success of your treatment, but circumstances may cause you to delay or miss an appointment. If you are unable to keep an appointment, please call our office as soon as possible to reschedule. We will offer you the next available appointment, but we may not be able to guarantee a next-day visit. We allow time to make adjustments, answer any questions and strive to see you in a timely manner. Because our schedule is finely tuned, late arrivals impact our timing and other patients’ schedules. We will do our best to uphold your appointment if you arrive late, but may not be able to complete your adjustments. Please call our office so we can make arrangements if you will be arriving late.
Insurance
Our office is committed to helping you maximize your insurance benefits. Because insurance policies vary, we can only estimate your coverage in good faith but cannot guarantee coverage due to the complexities of insurance contracts. Your estimated patient portion must be paid at the time of service. As a service to our patients, we will bill insurance companies for services and allow them 45 days to render payment. After 60 days, you are responsible for the entire balance, paid-in-full. If you have any questions, our courteous staff is always available to answer them.
